Introduction to the Register of Donated Items and Property of the Sir Henry Royce Foundation.
The purpose of this Register is to properly record, and maintain, a list of all items donated to, and acquired by, the Sir Henry Royce Foundation, Australia (SHRFA). It provides for donors’ names
to be recorded and each item numbered, identified, described, categorised and valued. Items acquired by the Foundation are included in the Register under the category of Property.
Every item will bear a unique Accession Number which will consist of a Code Letter followed by a chronological Item Number and in some cases a Sub Number where a
particular donation contains a number of separate items. The Accession Number will be written on the item or attached to the item on a sticker..
Headings used in the Database
A Code Letter is used to identify the source of the item as below:
A = ACT Branch
F = Foundation purchases
N = NSW Branch
O = Other Sources (with note)
Q = QLD Branch
S = SA Branch
T = Tas Section
V = VIC Branch
W = WA Branch
An Item Number follows the Code Letter. Items are numbered chronologically at the time of recording the receipt of the item in the Register. Thus an Accession Number might be Q25. This number is
assigned by the Archivist when entering the item in the Register. When the donation consists of a number of discrete items a sub-number or numbers are added following an oblique stroke. For example
Q25/1, Q25/2 etc.
Collections of magazines or photographs in albums, etc should be regarded as one item, and sub numbers may be added later when the item is examined and components are identified.
The date of accession, receipt or cataloguing in the form; dd/mm/yyyy.
